The most important part first

PocketPodium analyzes your practice speeches. This means:

· Your audio recording is processed on our server (Germany) solely for the analysis, transmitted to our transcription provider to be turned into text (see below) and deleted immediately after the analysis. If an analysis fails, the recording is kept for up to 48 hours so you can retry it. After that it is deleted automatically. If you abort a talk or save it without analysis, the recording is kept until you analyze it or discard it under "My talks".
· Only the transcript, metrics and feedback are stored, so you can track your progress. You can permanently delete a finished talk yourself at any time under "My talks" (🗑), including transcript, feedback, sharing and recording.
· When practicing with video, the video never leaves your device: body-language analysis runs in your browser; only numeric values are transmitted (e.g. a gesture index). If you additionally enable the optional outfit feedback, 1–2 still images (no videos) are transmitted, used for that single feedback only and not stored.
· If you enable the optional live audience, short audio snippets are sent to our server during your speech, roughly transcribed in memory only (to decide on reactions; the rough transcript excerpt is sent to Anthropic) and discarded when the speech ends, only the reaction timestamps are stored.

Sharing (optional)

You can share individual talks via a link. The recording is only kept if you explicitly choose this ("Keep recording & make shareable"), before the analysis or while it is still running; after that the audio is deleted. The setting is remembered for your next talks and can be switched off again at any time. The shared page shows no name and no email address. If you remove the sharing, the recording is deleted immediately. Visitors can leave feedback and report content; reported shares are automatically deactivated and reviewed. Shared talks also appear anonymously on the "podium": other users who answered the same question see the grade, duration and a transcript excerpt there and can listen to the talk. Removing the share also removes the talk from the podium.

Account & sign-in

Sign-in via email link (no password). Stored: email address, registration and sign-in timestamps. Session cookie (technically required, 90 days). No tracking, no analytics cookies, no ads.

Transcription (data processing)

The audio of your talk is transmitted to RunPod Inc. (a US company) to be turned into text, and processed there in a data centre inside the EU (Romania). RunPod processes the recording solely on our behalf; the transfer to the US company is based on the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR). The recording is not stored there permanently after transcription. Legal basis: performance of contract (Art. 6(1)(b) GDPR).

AI feedback (data processing)

For the coach feedback we transmit the transcript and the metrics (not the audio recording) to Anthropic (Claude API). Anthropic processes this data on our behalf and does not use it for training. Anthropic is based in the USA; the transfer is based on the EU Standard Contractual Clauses (Art. 46(2)(c) GDPR). Legal basis: performance of contract (Art. 6(1)(b) GDPR).

Payments (Premium)

Premium is sold by Paddle.com Market Ltd. (United Kingdom) acting as the seller. Your payment details are collected by Paddle directly, and we never see card or bank details. From Paddle we only receive what we need to unlock your access: email address, customer ID, term and status of the subscription. When you open the Premium card or the pricing page, a script from cdn.paddle.com is loaded to display prices and the checkout; Paddle receives your IP address in the process. Legal basis: performance of / steps prior to a contract (Art. 6(1)(b) GDPR); the transfer to the UK is based on the European Commission's adequacy decision. Privacy notice: paddle.com/legal/privacy.

Reminders (optional)

If you enable the daily reminder, we store the push subscription of your browser required for it. Turn it off at any time using the same toggle.

Hosting, server logs and email

Server: Hetzner Online GmbH, Gunzenhausen (Germany), with a data processing agreement.

When you open the site, the web server logs your IP address, the time, the requested address, the status code and your browser identification for technical reasons. These logs serve secure operation and troubleshooting (Art. 6(1)(f) GDPR), stay on the server in Germany and are overwritten after 14 days at the latest.

Sign-in links and notifications are sent through the email provider that operates the mailbox of the domain hallmann.top; recipient address and message content are processed in doing so.

Your rights

Access, rectification, erasure, restriction, data portability, objection, and the right to lodge a complaint with a supervisory authority. Just write to the address above. We delete your account and all data on request.

Retention

Recordings: deleted immediately after the analysis (failed analyses after 48 hours at the latest). Talks, transcripts and reviews: until you delete them or close your account. Account data: until the account is deleted. Payment-related notifications from Paddle: 24 months. Server logs: 14 days. Accounting records are subject to statutory retention periods.
